Create your business and invite your team

Sign up, configure your business, add locations, and invite dispatch staff and drivers.

This guide walks through signing up, finishing setup, adding locations, and inviting dispatch staff and drivers.

Sign up and open the console

  1. Go to shipora.com and choose Get started (or sign in at app.shipora.com).

  2. Create your account with email (Clerk-powered sign-in).

  3. After sign-in, if you don’t have a business yet you’ll be guided through setup.

Typical first-run path:

  1. Business — name and basic profile

  2. Plan — choose a subscription (or start a trial if offered)

  3. Location — add your first store / depot

  4. Connect — optional POS (e.g. Square)

  5. Team — invite people (you can also do this later in Settings)

You can finish or skip optional steps and return later under Settings.

Create or edit your business profile

Owners and Administrators can update business details in Settings (name, branding, SLA defaults, and related options).

Dispatch managers can run the board and manage drivers/orders, but they cannot change organization settings, integrations, or driver-app configuration. See Roles and permissions.

Add locations

Most delivery work is tied to a location (store, kitchen, warehouse, etc.).

  1. Open Settings → Locations.

  2. Create a location with at least:

  • Name

  • Address

  • Latitude / longitude (usually filled from address lookup)

  1. Save. Add as many locations as you need for multi-store operations.

Who can edit locations: Owner and Administrator. Dispatch managers can see locations for filtering and assignment but cannot create or edit them.

Tips:

  • Use clear names (“Downtown”, “Kitchen 2”) so drivers and dispatch filters stay readable.

  • If you use Square, map each Square store to a Shipora location under the Square integration.

Invite dispatch staff (web users)

Dispatch users sign in to the web console, not the driver app.

  1. Open Settings → Users.

  2. Invite by email.

  3. Choose a role:

  • Administrator — broad settings + operations access

  • Dispatch manager — day-to-day dispatch (orders, routes, drivers, messaging)

Owner is typically the person who created the business. You invite Administrators and Dispatch managers—not a second Owner via the normal invite flow.

The invitee receives an email (or Clerk ticket link) to join your business. After they accept, they appear in Settings → Users and can open the dispatch board.

What each staff role should do

  • Role: Administrator · Invite for…: Managers who need Settings, integrations, locations, and reports

  • Role: Dispatch manager · Invite for…: People who only need the live board, assignments, routes, and driver ops

Invite drivers (mobile)

Drivers use the Shipora driving app, not the web Users list.

  1. Open Settings → Drivers.

  2. Add a driver with a phone number (required for invite / sign-in).

  3. Complete any other fields your team uses (name, etc.).

  4. Send the invite. The driver completes onboarding via the welcome flow and installs the app from the store links shown in Settings.

After invite:

  • Drivers appear in Settings → Drivers.

  • Assign them to the locations they can cover (Owner, Administrator, or Dispatch manager can do location assignment for drivers).

  • Drivers go on duty from those locations in the app before they receive live GPS on the map.

Drivers vs Users (common mix-up)

  • : Product · **Settings → Users: Web dispatch console · Settings → Drivers:** Mobile driver app

  • : Login · **Settings → Users: Email · Settings → Drivers:** Phone (typical)

  • : Roles · **Settings → Users: Administrator, Dispatch manager · Settings → Drivers:** Driver

  • : Who invites · **Settings → Users: Owner / Administrator · Settings → Drivers:** Owner / Administrator / Dispatch manager

Do not invite drivers under Users as “Driver”—that path is for web staff only. Always use Settings → Drivers.

After setup checklist

  • At least one location with a correct address and map pin

  • At least one Administrator or Dispatch manager (if you’re not dispatching alone)

  • Drivers invited and assigned to locations

  • (Optional) Square connected and stores mapped

  • (Optional) Driver-app POD rules set under business / driver-app settings

  • Open the Dispatch board and create a test order to confirm the flow

Troubleshooting

Invite email never arrived Check spam, confirm the email, and resend from Settings → Users. Make sure the address isn’t already on another account with a conflicting membership.

Driver can’t sign in Confirm they were created under Drivers with the correct phone number, and that they’re using the Shipora driving app (not the website).

New staff can’t open Settings Dispatch managers are blocked from organization settings by design. Promote them to Administrator if they need that access, or have an Owner/Admin make the change.

No orders on the board Create a manual order, connect Square and wait for sync, or create via the Partner API. Filter the board by date and location—orders for another day or location won’t show.
